This guide is for authorized phone, Slack, or WhatsApp administrators. It explains the current setup paths in Aivah and the checks to complete before a channel handles real conversations.

Before you begin

You need:

  • Permission to connect and manage the channel.
  • Access to the provider, Slack workspace, or WhatsApp device involved.
  • A ready AI employee or the response option requested by the form.
  • Approved call instructions, consent wording, and a human handoff path where relevant.
  • A controlled test that does not use real customer information.

Steps

Choose only the channel you are setting up. Complete its test before connecting another.

1. Configure a phone assistant in Integrations → Telephony

  1. Open Telephony.
  2. Select the response option and voice shown by the form.
  3. Enter the phone number and connection details supplied by your phone provider.
  4. Write call instructions covering the greeting, questions, information collection, confirmation, handoff, and closing.
  5. Remove sensitive information from the instructions.
  6. Confirm the number and connection details.
  7. Save, then make a controlled test call.
  8. Confirm your organization's recording and consent requirements before real use.

The current phone page represents one visible phone setup. Do not assume additional returned configurations are managed unless they are shown on the page.

2. Configure Slack from Channels

You need access to create or manage a Slack app.

  1. Open the Slack setup area in Channels.
  2. Follow the on-screen setup guide and copy the configuration it provides.
  3. Enter the private account values requested by Aivah using the setup form.
  4. Choose the AI employee or response option requested by the form.
  5. Save the connection.
  6. Invite the Aivah assistant to the intended Slack channel.
  7. Turn the channel on.
  8. Test with a non-sensitive question.

3. Pair WhatsApp from Channels

  1. Open the WhatsApp area in Channels.
  2. Choose Connect.
  3. Wait for the pairing image.
  4. On your phone, open Linked Devices and choose to link a device.
  5. Scan the image.
  6. Wait until Aivah shows Connected.
  7. Complete a controlled test with non-sensitive information.

If the pairing image expires, refresh it and scan the new one. Use the visible power or disconnect action when the connection should no longer be active.

Expected result

The selected channel shows its successful state, a controlled test reaches the intended destination, and the AI employee follows the approved instructions without exposing private connection values.

Status meanings

  • Connected on WhatsApp means the current pairing is shown as connected in Aivah.
  • On for Slack means the channel is enabled in the current workspace view.
  • Phone and provider-specific states can vary. Use the state and recovery guidance shown on the page rather than assuming an unlisted meaning.

Usage credit impact

Phone and messaging activity can be supported usage, but this guide does not define prices or a per-call or per-message formula. Review the current balance and commercial information shown in your workspace before launch.

Information stored or shared

Channel setup can send conversation information to the connected phone provider, Slack workspace, or WhatsApp connection. Calls may also have transcript details available in Insights → Call Logs.

Collect only the information needed for the approved purpose. Confirm recording, messaging, and consent requirements with your organization before real use.

Limits and permanent actions

  • The phone page currently represents one visible setup.
  • Aivah does not document every provider-specific state in this article.
  • Messages and calls can reach people outside Aivah immediately.
  • Disconnecting a channel is not described here as deleting messages, calls, or records already held elsewhere.
  • Stop or disconnect a channel before retiring it; then review the connected service according to your organization's process.

Common problems and recovery

Slack does not respondConfirm the connection is active, the assistant was invited to the intended channel, the channel is on, and the private values are current.
WhatsApp pairing image expiredRefresh the image and scan the new one from Linked Devices.
WhatsApp does not show ConnectedConfirm the newest pairing image was scanned and wait for the visible state before testing.
The wrong channel or account was connectedStop testing and use the visible disconnect or power control before repeating setup with the intended account.
A real conversation contains unexpected personal informationStop further tests, follow your organization's incident process, and contact support without copying private records into the message.
