Use this guide when generated work is complete or appears to be missing. You will check the three places that can provide context—the Productivity gallery, AI Drive, and the source conversation—then open or download the intended item without assuming every view contains the same work.

Before you begin

  • Note which AI employee and conversation were used, the output type, the approximate creation time, and the request that produced it.
  • Wait a few minutes if generation may still be preparing, then refresh before starting a duplicate job.
  • Confirm you are signed in to the workspace where the item was created.
  • Decide whether you need to view, download, or delete the item. If deletion is the goal, keep any approved copy first because deleted work may not be recoverable.
  • Use an approved location for downloaded files and avoid storing visitor or customer information where your organization does not permit it.

Steps

1. Check the source conversation

Open the conversation where the request was made. Review its messages and any generated-content controls for the selected AI employee.

If the wrong employee appears in the conversation, do not assume the missing item belongs there. Search the conversation history for the employee and request you used.

2. Open Productivity

Open Productivity to find generated slide decks, podcasts, and mind maps. Use the gallery's available filters for all assets or a specific content type, then move through the available pages.

Open an item to view or play it. Confirm its title, type, source employee, date, and content before downloading or deleting it.

3. Open Integrations → AI Drive

Open Integrations, then choose AI Drive. This library can include supported generated images, videos, slide decks, documents, and saved web results.

Use the content-type tabs to narrow the view, then scroll to load more items. The current library does not provide search, folders, tags, rename, or bulk actions.

4. Open the item preview

Select the intended item and use its available larger preview. Verify the content before opening it in a new page or creating a downloaded copy.

If a preview is unavailable, use the available open or download action only when you recognize the item and source.

5. Download the supported item

Choose the available download action and save the file to an approved location. Open it only if its file type and content match what you expected.

If the download produces an unexpected file, do not open it. Delete the local copy according to your organization's process, return to Aivah, and try the original item again later.

6. Compare Productivity, AI Drive, and the conversation

If an item is not in the first view, check the other two. Productivity and AI Drive are separate views, and the source conversation may contain context that does not appear in the library.

Refresh each view and check the relevant content type before starting another generation job.

7. Delete only after confirming the item

When an item offers a delete action, open it first and confirm the title, type, date, source, and whether an approved copy is needed. Use the delete action carefully; do not assume deleted generated work can be restored.

Expected result

You find the intended item in the Productivity gallery, AI Drive, or its source conversation. It opens or plays correctly, and any downloaded copy matches the expected file type and content.

Status meanings

Generating, loading, or processing means the item is not ready yet. Ready or completed content should open in its relevant view. A failed item needs a corrected source or request before you try again. When no status is shown, refresh the relevant view and check the source conversation before starting a duplicate.

Usage credit impact

This guide does not define a fixed credit charge for browsing, previewing, opening, or downloading stored work. Creating a replacement is supported generation activity and may consume usage credits, so check all relevant views and refresh before starting a duplicate. Use the current values shown in your workspace rather than an older price or formula.

Information stored or shared

  • Generated work can be stored in the Productivity gallery, AI Drive, or associated conversation depending on the supported item.
  • AI Drive may contain images, videos, slides, documents, and saved web results. Review outside information before relying on or sharing it.
  • Downloading creates a copy outside Aivah. The location where you save or send that copy controls who else can access it.
  • Generated assets can contain information derived from the selected employee's business knowledge and from the request used to create them.
  • Do not send passwords, payment details, private connection values, or full customer records when asking support to investigate a missing item.

Limits and permanent actions

  • Productivity and AI Drive are separate views. An item is not guaranteed to appear in both.
  • The current AI Drive library does not provide search, folders, tags, rename, or bulk actions. Use content-type tabs and scroll to load more.
  • A missing preview does not prove the original item is missing. Try its supported open or download action.
  • A download may not match the expected file. Do not open an unexpected file.
  • Deleting generated work may be permanent. Confirm the item and save any approved copy before deletion.
  • Do not treat a gallery page as a complete inventory without checking other pages, loaded items, and the source conversation.

Common problems and recovery

The result does not appear after generation. Leave the source employee unchanged, wait a few minutes, refresh Productivity, then check AI Drive and the source conversation before generating again.

The item is not in AI Drive. Check the Productivity gallery and the conversation where it was created. Use the relevant content-type tab and scroll to load more.

The item is not in Productivity. Check Integrations → AI Drive and the source conversation. Confirm you selected the same workspace and AI employee.

The preview is blank or unavailable. Try the available open or download action for the recognized original item. Return later if the result still does not load.

The downloaded file is unexpected. Do not open it. Remove the local copy through your approved process and retry the original item later.

An item was deleted. Check the other supported view, the source conversation, and any approved downloaded copy. If none contains it, verify the source before generating a replacement; do not assume restoration is available.

There are too many items to scan. Use the content-type tabs, dates and names visible on cards, and the known source conversation. The current library has no search, folder, tag, rename, or bulk workflow.

If the item remains unavailable, follow Troubleshoot Aivah and include the non-sensitive creation time, employee name, content type, and steps that reproduce the issue.
